Prerequisites

Description

Under the direction of the Sales, Marketing, and Revenue Manager, the Events and Marketing Administrative Assistant aids in answering all incoming calls, maintaining an organized and efficient reservations office, corresponding with group and event guests, and assisting with day-of execution of special events and weddings.

Responsibilities

  • Answer incoming calls and provide clients with information on the Snowpine Lodge, our facilities, events packages, pricing, room types, rooming lists, billing information, etc. Ensure all inquiries are handled in a timely manner
  • Assist the Marketing Team with answering reviews and creating marketing material
  • Assist Events Specialist on creative projects such as proposals
  • Coordinate the scheduling of appointments, distribution of materials and thank you letters, tentative bookings, and more on a timely basis
  • Conduct hotel tours when appropriate
  • Create group reservations, room blocks, and special rates within 24 hours of contract confirmation
  • Communicate with reservations, front desk, kitchen, dining room, accounting, and other departments accordingly
  • Play a key part in ensuring the smooth execution of all weddings and special events
  • Perform other services, duties, and tasks as requested by the Sales, Marketing and Revenue Manager or the General Manager
  • Greet guests and vendors in a polite and professional manner, direct them to the appropriate lodge location
  • This position also assists with additional marketing efforts including social media

Reservations Agent

Description

The Reservations Agent serves as the voice of the hotel when guests first call or visit the property to inquire about booking. This role requires the Agent to take guest reservations in a professional and courteous manner.

Responsibilities

Job duties include; although are not limited to:

  • Provide excellent customer service to all guests and take reservations using proper hotel verbiage, ensuring to adhere to hotel standards
  • Accurate input and organization of reservation information via rooming lists, internet, travel agency requests, sales department, and reception with appropriate follow up
  • Accommodate in-house guest requests, ensuring a high level of guest satisfaction
  • Maintain accurate logs of special requests and ensure that requests are blocked in PMS 
  • Answer and direct inbound calls to the hotel 
  • Coordinate and respond to emailed correspondence
  • Understand the selling strategy for the hotel by knowing the status of room inventory and following it
  • Process rooming lists accurately as well as all changes and cancellations for group reservations
  • Prepare group guest lists prior to arrival
  • Ensure that all reservations put into PMS are accurate
  • Aggressive selling of hotel rooms to maximize transient room revenue using up-selling and yield management techniques per company policy
  • Memorize hotel facilities and give clear directions to the hotel for inquiring guests

 

PHYSICAL REQUIREMENTS

Most work tasks are performed indoors. Temperature is moderate and controlled by hotel environmental systems. Must be able to sit at a desk for up to 8 hours a day. Walking and standing are occasionally required. Must be able to lift up to 15 lbs. on a regular and continuing basis. This position requires manual dexterity, grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening and hearing ability, and visual acuity.

We are looking for hardworking folks who can navigate a variety of computer programs, crunch numbers, and provide excellent customer service to our guests. These positions require self-motivated individuals who are able to work independently with little assistance in performing basic front desk tasks such as checking guests in and out, reconciling accounts, communicating with housekeeping, and responding to guest needs.

Responsibilities

  • Welcome hotel guests between the hours of 10:30 PM and 6:30 AM.
  • Register and process guests at check-in and check-out
  • Audit and balance reports from the day shift, run all EOD computer functions
  • Verify that all EOD work has been completed by other departments
  • Post guest and room charges, record receipts and maintain guest folios
  • Prepare guest bills for next day departures

The function of our Bell Staff is to work closely with the Front Desk staff, Management and other hotel departments in providing guest assistance with luggage, valet, ski valet, transportation and miscellaneous needs. The Bell Staff are often the first and last person a guest will see during their stay, so a commitment to providing the highest level of guest service is key.

Responsibilities

  • Welcome all hotel guests in a friendly and professional manner
  • Assist guests with their luggage
  • Deliver guest luggage to guest rooms
  • Safely operate the courtesy shuttle
  • Safely and efficiently park guest vehicles, maintain key inventory
  • Shovel snow around the entire lodge property to ensure entrances and exits are clear, guest and lodge vehicles are accessible, and other snow removal projects as necessary
  • Communicate clearly with other hotel staff to ensure current status of guest rooms, delivery of guest luggage, execution of guest requests, and to streamline guest service between departments
  • Rotate between lodge locations, working in all bell staff departments: bell desk, valet, ski valet, and shuttle driving
  • Assist with setup and breakdown of special events: moving furniture, setting up chairs, etc
  • Complete routine building inspections and help with basic building maintenance and upkeep
  • Stay up-to-date on current weather and skiing conditions

Description

Under the direction of the Facilities Manager, the Maintenance Technician performs duties to ensure the hotel is maintained in an acceptable operating condition. The Maintenance Technician completes a daily checklist of tasks while attending to maintenance emergencies, accepting deliveries, performing snow removal and other tasks around the property.

 

The Maintenance Technician is a full time, year-round, live out position and typically works 7am-3pm but depending on occupancy may finish early or late. A typical weekly schedule will be 35-45 hours.

Responsibilities

  • Maintain the guest rooms, public spaces, and back of the house hotel areas in good repair by performing various tasks related to a variety of trades including carpentry, plumbing, electrical, air conditioning, painting, wall covering and landscaping.
  • Clean and maintain the pool and spa areas.
  • Conducts maintenance and safety inspections as needed and ensures timely follow-up to required improvements.
  • Cross-train and work effectively with housekeeping as occupancy and staffing levels required.
  • Operate snow removal and landscaping equipment (shovel, snowblower, Bobcat skid steer, mower, etc) in a safe and effective manner.
  • Responds to Fire Life Safety system alarm notifications on the property.
  • Completes additional duties/tasks as assigned by the Supervisor
  • Ability to lift/move up to 50 lbs on a regular basis.
